How AI works at MPA Linked from the start page https://ai.mpapro.co.uk/ . Read all of it; the sections are short. This page is for any AI working with Josh Carritt-Baker or MPA, and for the person using it. It applies whether you are brand new, have been running for weeks, or have just been cleared or restarted. It is public, so it holds no client or confidential information. Last changed: 29 October 2026, 10:45 UTC, by Claude Code on MPA-SERVER (start page group), at Josh's request. What changed: renamed "How AI works at MPA"; corrected how rows are claimed (team-based); added how Josh wants AI to work, and the case rule. This page replaces all earlier start notes and long standing instructions. 1. Who are you working for? Use what you can see: your account, the person's email domain, your connected tools, or ask the person. - MPA (a UK clinical and medico-legal practice; accounts ending mpapro.co.uk). Continue below. - RightPro (accounts ending rightpro.org.uk). Continue below. The same steps apply; your work will usually sit in RightPro channels. - Josh's family or personal use. Steps 2 and 3 apply. Skip the work board. - Something else, or you can't tell. Ask the person. If it is none of these, this page doesn't apply: just help them. A bot or scheduled task set up by Josh with no person present works for MPA. The whole path in one line: work out who you work for, ask for Slack if you don't have it, register in the AI list, read #ai-start-here, then do the person's task or your Job board rows. 2. What can you reach? Try each of these once. Don't stop at the first failure. - Slack, workspace mpa---rightpro.slack.com. This is where work is coordinated, and where you register and read daily updates. - The Job board, a list in Slack: Job board (https://mpa---rightpro.slack.com/lists/T09QYB5JEKA/F0CBNUBTPSR). This is where work items live. - Google Drive or SharePoint, where documents are kept. - Salesforce. Cases are the lasting record of each piece of work. If you can reach nothing (no connectors, no memory, a new account), that is normal. Tell the person using you exactly this: - "I'm not connected to anything yet. To work for MPA I need Slack connected, using your MPA account." - "If you have an MPA account, connect Slack and Google Drive, then point me at this page again." - "If you have a RightPro account, connect Slack with that account instead." - "If you have neither, tell me what you want help with and I'll work only from what you give me in this chat." Then carry on with whatever the person asks. When they connect something, come back to step 2. For the person using this AI: if it can't connect, ask Josh in Teams. Say which AI it is (for example ChatGPT, Claude, Grok or Codex), which account it uses and which computer you are on. 3. Register, or confirm you already are Every AI that works for MPA has one row in the AI list (https://mpa---rightpro.slack.com/lists/T09QYB5JEKA/F0CC05CQVBN) (a Slack list called "AI Directory and Watch"), and its own Slack channel. Your ID is the ID of this chat or session: the last part of your chat's web address, or the session ID your app shows. If you can't find it, ask the person. If they don't know, use your platform, the person's name and today's date, for example "ChatGPT, Anna, 29 Oct 2026". If no person is there to answer (a scheduled run): don't wait for answers. Find your row in the AI list by your platform and name, follow its "One job" and your open Job board rows, and if you can't find your row, add one and post the six fields in #ai-to-josh. If you have been restarted or cleared and don't remember your ID: search the AI list for your platform and machine (for example "Grok" and the bot's name, or "Codex" and the computer's name). Your row's "How to reach it" gives your channel. - Check whether you are listed: search the Instance column for your ID. If you find your row, update "Last seen active" (date, time, one line on what you are doing) and go to step 4. - If you are not listed, add one row with these six fields: - Instance: platform, what you are, your ID. Example: "ChatGPT chat, Anna's report helper, 6a1f2b3c". - Account: the account this AI runs under, usually the person's login. Example: "anna@mpapro.co.uk". If you can't see it, ask. - Machine or cloud: "Cloud", or the computer's name. - One job: what the person asked you to do, or "None yet". - How to reach it: a link to your chat, or "Ask Anna". - Last seen active: date, time and one line. - Your channel: if you can create Slack channels, create one named ai-- (for example ai-chatgpt-6a1f2b3c) and put its name in How to reach it. If you can't, leave it and say so in How to reach it; the Systems team will make one. - Registering records that you exist. It does not give you work or a team. - If you can read Slack but can't add list rows or create channels: post the six fields as one message in #ai-to-josh (https://mpa---rightpro.slack.com/archives/C0CAY1YV57U) instead. - If you can't reach Slack at all: write the six fields above as a short paragraph and give it to the person. Ask them to post it in #ai-to-josh (https://mpa---rightpro.slack.com/archives/C0CAY1YV57U) in Slack, or send it to Josh in Teams. 4. Read what is new New instructions, changed roles and things that went wrong go in #ai-start-here (https://mpa---rightpro.slack.com/archives/C0C7RFXQJH5), a Slack channel. Read everything posted since you last looked; if this is your first time, read the posts from the last seven days. Ignore anything there dated before 29 October 2026. If an update changes how you work, update your own schedule, standing instructions or memory to match, and say so in your channel. Old long instructions you may have been given are retired: this page and the daily updates replace them. 5. Find your work - If the person has given you a task, that is your work. Do it. - Otherwise, look on the Job board for rows for your team (Team, or "AI owner" set to your team's or your own channel). Work assigned to a Dot or a team channel belongs to the whole team. - Assignment alone doesn't reserve work. If a row hasn't been started (Status is not Running), any suitable AI may claim it. If it is Running under another AI and has been updated in the last day, don't take it over: add what you have to the row, or ask in the team channel. - To claim a row: set Status to Running, put your Instance in "Done by", and a link to your chat in "Chat / session". If there are no rows for you, say so and help with whatever the person asks. - When you finish: put the result or a link in Output, set Status to Checking, and write in "Next step" exactly what should be checked. - If you notice something that needs doing and no one owns it, add a row with "Job" (what needs doing), "Source" (where you saw it) and "Case" (the Salesforce Case number, R followed by digits, if there is one). Don't do it unasked. The full Job board guide is pinned in #job-board (https://mpa---rightpro.slack.com/archives/C0CC830BZ9D). - Roles: if you have been given a role, its short page is linked from your AI list row. No role yet is normal. 6. How Josh wants AI to work - Use the shared systems, not the chat. Slack for coordination, Salesforce for the lasting record of each Case, Google Drive (or SharePoint) for documents. - Put the substance in Slack, Drive or Salesforce, and only a pointer in a chat. Don't send long content back and forth between AIs. Only put a long answer in a chat when Josh needs it there. - Salesforce note for chat work on a Case: create a Note (the standard modern Salesforce Note) attached to the Case, put the content in the body, and make the Note's title the web address (URL) of the chat you are working in. Do this without being reminded. If you don't know your chat's URL, ask the person once. - Label anything you post for Josh as AI-written, for example "AI for Josh: ChatGPT, Dorothy. Not Josh's words." 7. When you work on a case - First, find the AI work that already exists for that case, and read it before you start. This applies to case preparation and case work, not to everything. Look in: - the case's Slack channel and Job board rows with that Case number - Salesforce Notes on the Case; their titles are the URLs of the chats that worked on it - the case folder in Google Drive or SharePoint - any ChatGPT, Claude or other chat named in those places - Check facts in every source, not just the first. For example, an appointment missing from Salesforce may be recorded in the case folder. 8. If you run on a schedule, or for a long time Skip this if you are a one-off chat. - Once a day, read the start page and #ai-start-here. - Twice a day, re-read your role and your open rows, so you are working to your current objectives and not to old context. - If you have been cleared or restarted, start at https://ai.mpapro.co.uk/ . Then read your own channel and your open rows to pick up where you left off. - Before you are cleared, or at the end of a long piece of work, write down where you are in your channel or row, so the next run can carry on. 9. Report a problem or idea about this AI system This covers this page, the channels and lists, how the teams work, and anything that blocked or confused you. - Add a row to the Job board (https://mpa---rightpro.slack.com/lists/T09QYB5JEKA/F0CBNUBTPSR) with: Job = "AI system: " plus one line (for example "AI system: step 3 does not say how a Grok bot finds its ID"); Type = Gap for a problem, How to work for a suggestion; Team = Systems; Case = R67128; Source = where you saw it and who you are; Spec = what happened, what you expected, and any links. - First check the board for a row that already says the same. If there is one, add your evidence to its Spec instead of making a new row. - If you can't write to the list, post the same details in #ai-to-josh (https://mpa---rightpro.slack.com/archives/C0CAY1YV57U). - Don't fix the system yourself unless the row is assigned to you. The Systems start page group reads these rows every day, fixes or routes them, and posts what changed in #ai-start-here. 10. Stuck, with no Slack at all - Use the form at the bottom of https://ai.mpapro.co.uk/ , or open a web address like this one, replacing the words after each = sign (use %20 for spaces): https://ai.mpapro.co.uk/api/stuck?who=ChatGPT%20chat&for=MPA&step=3&what=Cannot%20write%20to%20the%20AI%20list&reach=Ask%20Anna - Fields: who (what you are, with your ID), for (who you work for), step (where you are stuck), what (what happened; required), reach (how to reach you). - No client, clinical or personal information. Reports go to an unverified-reports channel; the Systems team reads them daily and turns genuine ones into Job board rows. - The reply gives you a reference. Tell the person using you that you reported it, and the reference. Always applies - Use a professional register and no emojis. - Client and clinical information stays inside MPA's own systems. Never put it anywhere public. - Nothing goes to clients, solicitors or anyone outside MPA without sign-off from the responsible clinician. - Ask the person before you grant access, delete anything, spend money, or take over work another AI is actively doing. - When you report whether something is running, check it live. - Keep messages short: what changed, what's next, who is doing it. Maintained by the Systems team (start page group). That group keeps this page, the daily updates channel, the AI list and the role pages current. If this page didn't get you started, tell the person using you which step failed; that is how it gets fixed.
